Document Control Specialist/Administrative Assistant position presents an exciting opportunity for professional growth. We are seeking candidates with the ability to prioritize, who are detailed oriented, can manage and track construction-related documents using the Microsoft Access Program. Strong interpersonal and communication skills are essential, due to regular communication with internal and external project team members. A large part of this job is to effectively multitask between document control and administrative support responsibilities. In this fast-paced and deadline-driven environment, it is required to stay focused and carry out tasks in a timely and accurate manner.Rail Infrastructure Management ServicesData entry, scanning, photocopying, mailing, and maintaining the integrity of documents.Adhere to the company's document lifecycle procedures, and archive records in accordance with the records retention schedule.Receive and process Requests for Information (RFIs), Submittals, Notice for Proposed Changes (NPC) and Change Orders (CO) and maintain the requests via tracking logs.Maintain a paper and electronic filing system, following document control protocols.Preparation of Meeting Minutes, Letters, Memorandums, and other communications as deemed necessary by the Resident Engineer and/or Construction Manager.Must follow company protocols at all time, adhere to updates accordingly and participate in company trainings.Ability to work with others and assist other document control specialists as needed.Training will be provided for our specific procedures for both Microsoft Access and ECMS databases. Must work onsite at project location, with the possibility of a hybrid schedule dependent on project needs, approval from Construction Manager and CM ESRM Supervisor.MUST HAVE EXPERIENCE WITH A CONSTRUCTION MANAGEMENT FIRMTyping 30 wpm.Data entry, maintain records and databases.Experience with Adobe PRO.Excellent verbal and written communication skills.Strong ability to work independently and in a group setting.Professionalism, organizational skills, and time management.Experience in Microsoft applications, including but not limited to; Outlook, Word, and Excel.2 or more years of Document Control experience.1 or more years of general administration/clerical/office support.Examples of work assignments include, Schedule and coordinate meetings. Carry out duties such as copying and filing reports - Inspection, Monthly Progress, Invoices, etc.Assist in Progress Meetings.Track and maintain office supply inventories.Record and transcribe meeting minutes.Produce routine spreadsheets, i.e., daily work log of project staff, office supply deliveries, etc.Ensure operation of printer/copy machine by reporting monthly usage to vendor.INDNJ
