We are searching for a transaction coordinator to assist our real estate team. Youll manage all administrative aspects of the transaction from contract to close, including providing assistance with escrow-related documentation, scheduling inspections and repairs, and acquiring seller approval for offers and counteroffers. Responsibilities:

Coordinate and attend all closing procedures, such as moving schedules
Input client information into the client database system, track transaction activities, and submit each necessary document to the office broker for file compliance
Manage transaction contracts from both home buyers and sellers to close the deal in a timely manner
Look over all paperwork to confirm they have the correct signatures and dates, assuring that the closing process has been done accurately and efficiently
Aid real estate agents, clientele, and other stakeholders with paperwork and ensure the completion of all escrow documents, such as appraisals, titles, and mortgage loans
Build, implement and manage all systems for clients, lead generation, database management and back-office support
Coordinate marketing events and client activities
Oversee all listing files and listing marketing (brochures, flyers, online marketing, etc.)
Manage website and social media (no coding required)
Act as a liaison between clients and agents
Participate in company-provided training sessions
Compile and distribute weekly/monthly reports to clients (buyers and sellers)
Manage contract to close process
Create and maintain an operations manual that documents all systems and standards
Be the first point of contact in handling customer inquiries and complaints
Create, maintain and utilize a complete lead follow-up system
Keep agent informed about challenges and issues that need to be handled
Provide concierge-level customer service to clients and customers
Work with all preferred vendors, including professional photographers, contractors, etc.
Enter critical dates for property sales on shared Google calendar
Shall send out weekly reminders of upcoming critical dates via email
Work with the title company as a secondary liaison on any necessary information/documentation to help get the property to a successful closing
Coordinate seller listing sign installation and removal at the appropriate times
Schedule photographers for all seller listings
Continue to take the day to day office tasks away from the agent, organizing workflow and reducing inefficiencies

Qualifications:

Passionate about providing excellent customer service
Must have excellent organizational skills and communication skills
Experience in the real estate industry, transaction management or coordination, titles, and/or mortgages preferred
High school or equivalent required, some college experience preferred
Obtained real estate license or are currently pursuing
NJ Real Estate License a plus, but not required
