Job Description:

Key tasks and responsibilities include but are not limited to:

HR Support

· HR Functions (Prepare Payroll for review and approval, submit updates to PEO such as salary changes and other pertinent HR info)

· Assist in the management of the PEO other related support programs (commuter benefits, FSA, benefit updates and yearly enrollment)

· Manage online timecard system; Ensure timely & accurately allocation of staff timeAP/ AR / General Ledger

· Manage the Accounts Payable process

o Compile all records necessary to process a successful check run and record in accounting system

o Ensure each vendor has a W2

o Manage the 1099 process (quarterly)

· Manage Accounts Receivable Process

o Process all deposits and record in accounting system

o Provide reports to Development to assist with Board lists and Raiser's Edge Data

o Prepare weekly donation report for Development staff and ED

o Manage internal and external requests of Funds received (Ex: COIB report, Board Giving Reports, Etc.)

o Manage collection of open pledges A/R

· Manage and track other payment methods

· Process Credit Cards payments when needed

· Perform chart of accounts reconciliations and review

· Process journal entriesOffice Management

· Manage the Fiscal files and other organizational files (maintain the e-files)

Key Qualifications· Experience in developing and management organizational and grant budgets, including experience tracking of indirect cost rates on grants

· Former experience in Not-For-Profit; Government or related industry.

· Meticulous attention to detail and high-level of accuracy (with the ability to see the bigger picture)

· Strong analytical & strategic thinker

· Strong leadership and communication skills.

· Excellent organizational and administrative skills.

· Excellent interpersonal skills and team building skills

· Ability to multi - task and manage multiple deadlines in a fast-paced environment

· Motivated, self-starter who can follow directions but also create and lead new initiatives.

· Advance proficiency in excel

· Experience of accounting systems (QuickBooks experience preferred)

· Experience of general ledger, chart of accounts, journal entries and accounting work
